Quilts for Care Leavers Northern Ireland (Q4CLNI) is registered with the Charity Commission for Northern Ireland NIC 109675 and is committed to protecting your personal data.

Q4CLNI’s Basis for Processing Data

Q4CLNI — the Data Controller — shall be responsible for, and be able to demonstrate, compliance with these principles.
Consent of the Data Subject
Processing of personal data is based on explicit consent given by an individual for their data to be processed in a particular manner. For instance, you can consent to receive information from Q4CLNI by email or post. Certain communications such as reminders for attending events can be delivered by SMS, phone call, email, or Facebook. Individuals have a right to withdraw consent at any time and to unsubscribe from any and all mailing lists.
Giving consent usually applies to a specific type of data processing — for example, you might give consent for us to use your email address to send you updates and block information. So far as is reasonably possible, we will endeavour to fulfil any and all requests you might make to us with regards the ways in which we process your personal data.
Legitimate Interests of Q4CLNI

Q4CLNI’s legitimate interests include, but are not limited to, continuing to operate as a charitable organisation by receiving funding and support.

Q4CLNI will collect and process personal data for specified, explicit and legitimate reasons connected to its operations. We may collect personal information about you when you enquire about our activities, request information, donate to us, register for an event, or otherwise interact with Q4CLNI.
We obtain personal data in a number of ways, including:
- When you complete online forms on the website, to make donations, register for events, or register for monthly block information.
- When you use email, phone, or letter to contact us.
- When you donate to Q4CLNI via an external site such as JustGiving. You should check the third party’s privacy policy when you provide your information to them.
The data we receive from third parties can include your name, postal address, email address, phone number and whether you are a taxpayer (so that we can claim Gift Aid). Q4CLNI does not receive any credit or debit card details.
We may also gather anonymous information about the use of the website, such as which pages are most visited. We will use this information to improve our website.
What Type of Information is Collected?
The personal information we collect might typically include your name, postal address, email address, phone number(s), donation details and Gift Aid declaration. When you use the website, we will also receive your IP address and information regarding which pages are accessed, through the use of cookies.
If you make a donation online or book a sew day, your credit/debit card information is not held by us — it is collected by our third-party payment processors.
Where We Store Your Information
All data and personal information held by Q4CLNI are stored on secure computer servers physically located in the EU. Q4CLNI is considered to be the Data Controller for all personal information collected and stored.
Keeping Your Records
Q4CLNI keeps records for as long as required in accordance with legal requirements and tax and accounting rules. Where your information is no longer required, we will ensure it is disposed of in a secure manner.
You have the right to: view the information we hold about you; have data corrected or removed; restrict how we process your data; and object to how data is used.

Using Your Information
We may use your information for a number of purposes including:
- Providing you with communications that you have requested
- Processing donations we may receive from you
- Processing applications to participate in sew days or other events
- Administration purposes, such as contacting you regarding an event you have registered for
- Internal record keeping, including the management of any feedback or complaints
Q4CLNI does not sell, share, or distribute personal details to other organisations. We may be obliged to disclose your personal information to relevant authorities if it is in the public interest or required by law.
Processing Donations and Gift Aid
When you make a donation, we are legally obliged to process your personal information to ensure we receive the associated funds and keep an accurate record. If you give us permission to claim Gift Aid, we are legally obliged to use your personal information to make the relevant claim from HMRC.
Subject Access Requests (SARs)
You have a legal right under GDPR to make a Subject Access Request (SAR), to either see a copy of the information Q4CLNI holds about you, or to request that your personal information is deleted. Q4CLNI may require proof of ID to complete a SAR. For legal reasons, it may not be possible to irrevocably delete certain finance data, though Q4CLNI would endeavour to anonymise the relevant data within its legal obligations.

Any personal information submitted through online forms and portals is encrypted and protected with 256-bit SSL encryption. Whilst we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk.
